4. Membership Secretary up to £3,900 pa

This is a great opportunity to get involved behind the scenes at Sevenoaks Hockey Club and to help the club deliver its #OneClub strategy.

Sevenoaks Hockey Club is looking for a pro-active membership secretary to welcome new members to the club.

This part-time role (approx. 5 hours per week), will be accountable to the Operations Manager.

The Membership Secretary will respond promptly (daily) to new membership enquiries which are received throughout the year. They will provide new members with the information they need to enrol, attend taster sessions and ultimately sign up with the club. Our membership secretary is crucial in welcoming new members to our hockey family.

This role would suit a detail focused individual who is customer service orientated and keen to provide an exceptional level of service to new and existing members.

In addition to supporting new members joining the club the membership secretary will be responsible for:

  • Monitoring payment status of existing members and flagging those who are in arrears. Supporting the collection of membership fees with support from age group managers and team captains.

  • Management of the membership database, including removing members who have left and updating key data as and when required.

  • Oversight of membership retention, including new members and those leaving, protecting the club membership revenue and providing reports for the Board on key indicators at least quarterly.

  • Working alongside the club administrator to ensure members receive discounts on open courses when they join and covering for the club administrator’s holiday to support camp sign-up and registers.

  • Updating and improving process documentation and standard templates to improve these over time.

  • Annual database update for junior members – moving them into the right year groups for the following season.

  • Providing a membership report (number of members and outstanding payments) to the playing sections at agreed frequencies (monthly/bi-monthly/quarterly)

  • Managing applications to the participation fund to ensure financial status does not restrict hockey participation

Person profile:

The successful candidate is expected to have the following attributes:

  • Customer service focused with the ability to build relationships with members, parents and key club officials.

  • Process focused, with a desire to improve and document working practices so they can be executed by a constantly evolving volunteer workforce.

  • Analytical with the ability to take information from various data sources and use this to understand trends, and report on these to other parts of the club.

  • Technically literate with the ability to use excel reports to demonstrate trends over time and flag exceptions.

Sevenoaks Hockey Club is a registered Charity. It’s strategic objective is to increase the participation of hockey in Sevenoaks and the surrounding areas. It currently achieves this through

  • provision of club hockey for members from school year 1 and above,
  • provision of open junior hockey courses during term times for years.
  • Provision of holiday camps open to the community
  • Provision of back to hockey and social hockey for adults
  • In-school coaching at local primary and secondary schools
